Terms and Conditions

Headshot Photography

1.      Deposit/Payments: A non-refundable deposit of 20% of the quoted amount must be paid to secure the allotted date and time slot. The deposit represents a genuine pre-estimate of losses incurred due to reserving the appointment slot. If the photographer/videographer cancels the session, the deposit will be fully refunded.

By booking a session for a specific date and time, the client acknowledges that the 14-day cooling-off period will not apply.

The remaining balance must be paid no later than 48 hours prior to the scheduled appointment.

If the photographer is unable to perform the services due to illness, emergency, or circumstances beyond reasonable control, the session will be rescheduled or a full refund provided.

2.      Copyright policy: The copyright of all images remains with the photographer. The client is granted a perpetual licence for personal and professional promotional use (e.g., LinkedIn, casting profiles, websites) but may not sell or license the images to third parties without written permission.

The photographer may use images for their portfolio, marketing, or social media unless the client explicitly requests otherwise in writing before the shoot.

3.      Edits/Colour grading policy: The ‘colour/grading and editing’ of images is subject to a maximum of two rounds of reasonable amendment requests. The videographer/photographer will endeavour to complete any amendments within 7 days of the amendment request.

4.      Premises: The photography will occur on the private premises of the videographer/photographer’s residence. Clients are asked to arrive and depart within their booked session time unless otherwise agreed.

The client attends the premises at their own risk. The photographer will take reasonable care to ensure a safe environment, but cannot accept responsibility for any damage or loss to personal belongings.

5.      Conduct: The client must abide by reasonably good conduct and must not attend the appointment inebriated, or they may be asked to leave the premises. The deposit will be non-refundable. We ask that respect be shown to the premises and the residents of the property.

Whilst the photographer/videographer will direct the client on poses, the results of the photographs will also be subject to the client’s own conduct during the photoshoot.

6.      Lateness: Lateness of more than 15 minutes will result in the automatic cancellation of the appointment unless the photographer/videographer is contacted prior to the appointment, where he is available to accommodate the additional time. If no agreement can be made on rescheduling, the client will forfeit their non-refundable deposit.

7.      Rescheduling policy: The photography session may be rescheduled with at least 48 hours’ notice. Reasonable limits apply.

8.      Cancellation policy: If the client has paid their non-refundable deposit, it will not be refunded in the event of a cancellation. This is because the securing of the timeslot may have resulted in scheduling losses for the videographer/photographer.

9.      Result delivery: The photographer/videographer will produce six photographs (unless fewer are taken on the day) and will send them to the client’s preferred email address via a ZIP folder. The photographs will be delivered within 14 days of the photoshoot/final approved amendment to any edits requested by the client, unless agreed otherwise.

The client is responsible for downloading this link within the specified timeframe, and while we endeavour to resend this link, if no response, a lack of downloading, or any other reasons for the non-delivery of the images occur due to the client’s conduct, it is at the photographer/videographer’s discretion to destroy the images three months after the occurrence of the photoshoot. No refunds will be provided in this instance.

The client will receive a proof gallery from which six final images may be selected for editing.

In the unlikely event of equipment failure, loss of digital files, or other circumstances beyond the photographer’s control, liability is limited to a full refund of monies paid.

10.   Data Protection / GDPR: Personal data will only be used for booking, communication, and delivery of services and will not be shared with third parties without consent.

11.   England/Wales Law: These terms are governed by the laws of England and Wales.
